Job title: Senior Administrator Secretary
Reports to: National Coordinator
Duty station: Maseru
Duration: 3years
The Global Fund Coordinating Unit (GFCU) of the
Ministry of Finance and Development Planning (MOFDP)
undertakes functions required of the Principal
Recipient (PR) of Grants received from the Global
Fund to fight AIDS, TB and Malaria. Lesotho has so
far four grants received namely Round 2 which phased
out on June 2009, Round 5, Round 6, Round 7 and
Round 8 implementation that will start later this
year. Further strengthening of the unit is now
required to respond to the work-load of all grants
administration. The MOFDP/GFCU is therefore seeking
suitable candidate to fill the position of Senior
Administrator Secretary who is responsible for
support of the day-to-day office function.
Job Description
- Maintains the office records
- Management of files and monitor file
security
- Work closely with Procurement section to
conduct procurement duties in line with
Government Procurement procedures
- Finds services for cleaning, repairs and
maintenance of office assets
- Provides support with photocopying, filling
and retrieval of all project documents
- Facilitates and where necessary dispatches
out-going correspondence to all relevant
stakeholders
- Makes travelling arrangements for staff,
locally and abroad
- Provides logistical support for official
meetings and conferences
- Provides secretarial duties to the National
Coordinator
- Work Closely with Finance and Procurement
Section in Asset keeping and registry
- Perform any other duties assigned by the
office
Recruitment Qualification
University degree or equivalent from recognized
academic institution in Business Administration,
Public Administration, or related field with minimum
of five -year working experience at Executive level.
Knowledge, Skills and Experience
- Be a Mosotho national with fluent oral
communications skills in both English and
Sesotho languages.
- Be able to work independently without
supervision under high demanding deadlines.
- Have secretarial experience
- Knowledge in records management
- Appreciation of basic administration
- Ability to communicate and work
collaboratively with all sectors of society
including national and international partners
- Excellent writing skills: minutes, reports,
memo, letters etc.
- Maturity, integrity, good interpersonal and
communications skills to represent positive
image of the organization.
- Person with high ethical conduct at
workplace.
- Computer literacy and proficiency in office
software
- Valid driver’s license is an added advantage
